NO SHOW AND LAST MINUTE CANCELLATION

Signing up for the tournament is a commitment and must be honored.  If difficult situations happened beyond anyone's control, text or call in advance unless in extreme emergency.  All of us are responsible for our own action and ignorance is no excuse.  If cancelling with undue reasons, please read as follows:

 

​Facts in organizing and running a tournament:

  1. Organizing a tournament takes a lot of time and effort by the officers and workers who work hard and long, consuming their own personal time without compensation.

  2. The tournament director (TD) works and negotiates with the golf course’s manager to secure tee times for the club at the lowest green fees as possible.

  3. Then the TD of the Day will invite players for the upcoming tournament.  He will then group them in a way to speed up the game or as requested. Then he needs to balance the number of players in their respective flights.  TD of the day is normally in touch with the course manager from start to finish to insure all is well according to contract agreement.

  4. Per contract agreement, the golf course reserves tee times in good faith according to players on the list submitted by the TD of the day.  Normally the course manager gives the club 24 to 36 hours to submit the final count of players.  If there are 48 players in the final count, 48 are expected to show up the morning of the game.  

  5. The club's volunteers have to be on site early ahead of everyone to register players, oversee the tournament and making sure everything goes well according to plan.

 

Having said the above and if not sure or cannot play, Do Not Sign Up because Last Minute Cancellations and No Shows have negative consequences as follows: 

  1. It is detrimental to the club's reputation, embarrasses the TD and it makes the rest of the players who showed up for the game look bad.

  2. It breaks the club's contract agreement with the golf course.

  3. It wastes tee times that could have been sold to the public by the golf course.

  4. It is unfair to players who showed up for the game. Regrouping may be necessary to compensate for the loss of players in order to maintain at least 3 somes in each group as required by the club's tournament rule.

  5. It offset the balance of players in their respective flights.

  6. A complete disregard to the efforts of TD and the volunteers who works long hours in putting the tournament together.

  7. It creates extra work and time by regrouping, re-flighting players if there is time and in particular reprinting the scorecards and registration forms.

  8. Guests are always welcome in every tournament and should be treated as VIP when they show up in the game.  However, members are responsible for any action of their guests and must invite only those they know well for a long time of being responsible, considerate and reliable.

Every member of the club is expected to act as an adult with a sense of responsibility, commitment and consideration.  If situation has changed to any of those who have signed up for the tournament, please cancel at least within 24 hours in advance and if possible avoid last minute cancellation and worst of all, not showing up in the game. 

All of the above are just for player's awareness what it entails to organize, run tournaments and the consequences of late cancellations and no shows that the club need to end or at least minimize.  At the end of the day we are still human and life is uncertain.  Our family and health comes first and foremost.  When an unpleasant condition strikes anyone, it's understandable if a player cannot make it and hopefully it's nothing serious.
